AGENDA FORMAT PREPARATION AND DISSEMINATION

The agenda and preparation for meetings shall be the responsibility of the Superintendent of Schools with the approval of the Board President. Board Members, employees of the school district, and citizens may suggest agenda items by contacting the Superintendent or Board President at least four (4) days prior to the meeting. The person requesting the item should forward any background information at least three (3) days prior to the meeting. Individuals wishing to be heard at a Board meeting shall advise the Superintendent in advance.  The agenda, however, shall always allow for recognition and comments by members of the public. Items of business introduced from the floor will not be acted upon at the same meeting.

The President of the Board of Education, conferring with the Superintendent of Schools, will arrange the order of items on meeting agendas, so that the Board can accomplish its business as expeditiously as possible. The particular order may vary from

The Board will follow the order of business established by the agenda, except to rearrange the order for the convenience of visitors, individuals appearing before the Board, or to expedite Board business.

If an agenda item is not decided appropriate for a particular Board of Education meeting, by the President and/or Superintendent of Schools, it will be the responsibility of the member requesting that the item be included on the agenda to gain the approval of at least four (4) additional board members.

The agenda shall include at least an Open Forum section, Consent Agenda section, Action Item/Discussion section, Board Forum section and Executive Session section if needed.

Not less than three (3) days prior to each meeting, except for special meetings, a complete set of materials, including background information on requested agenda items shall be sent to each Board Member, the Superintendent, the Assistant Superintendent, the District Treasurer and others as required. Advance dissemination of the agenda shall be the responsibility of the District Clerk. Copies of the agenda will be available to the public at the district office prior to the meeting.
